Soft Reserves Professor Information
Important deadlines for the Summer and Fall 2008:
Deadline to guarantee availability the 1st day of classes (SSI-June 30th):Copyrighted materials: Monday, June 9th
Non-copyrighted materials: Wednesday, June 25th
Deadline to guarantee availability the 1st day of classes (SSII-August 4th):
Copyrighted materials: Monday, July 21st
Non-copyrighted materials: Wednesday, July 30th
Deadline to guarantee availability the 1st day of classes (September 25th):
Copyrighted materials: Friday, September 5th
Non-copyrighted materials: Monday, September 22nd
Material Submission: General Guidelines
- Submit materials to Soft Reserves
- In person - Enter the door to the left of the service windows
- By campus mail: Mail Code 0325
- Via e-mail: assoftreserves@ucsd.edu (this is mainly for smaller items)
- Pick-up: Call Soft Reserves at (858) 534-6256
- Print Authorization form - This form must be completed and include the following information
- Name of the course and the course number
- Name of the professor
- How the material will be provided to the reader/student (hard copy or online
- Handling of materials after class: Return to submitter, stored, or archived at the end of the quarter
Timeline: Non-copyrighted Materials
- Less than 100 pages - If submitted by 2:30 p.m. materials will be available the following day by 3:00 p.m.
- More than 100 pages - 2 days
Prices
- Cost for submitting materials: Free

- Non-copyrighted materials:
- 8 cents per page
- Binding - $1.50 if over 100 pages
- Copyrighted materials (all fees apply but price per page never exceeds 20 cents)
- 10 cents per page

Material Submission: Copyrighted
- All materials must be cited. The best way to provide most of this information is by including the title and copyright pages from the book or journal. Citations should include:
- Title of the material (book or journal)
- Author
- Page numbers of the selection to be included
- Copyright date
- Publisher's name
Additional Information
- Reading list - Consider including a reading list with the materials as the more information your provide to Soft Reserves, the easier it will be to complete your reader and the sooner it can be made available to your students.
- Single-sided vs. double-sided materials - All materials should be single-sided. Otherwise we'll have to make a copy of them for the master copy (we submit a single sided copy of the reader to our printer
- Copies from books:
- Avoid Submitting materials with the following attributes
- Pages where text has been cut off by the copying process
- Pages that contain large margins of black
- Master copies
- If you'd prefer, you can submit the books and Soft Reserves will make the master copy.
- The quality of the final product is dependent upon the quality of the master copy. If you submit copies that are very old, or are themselves a copy (of a copy...of a copy), then the copy that is made for the students can be very difficult to read.
- Reprints
- Permission to photocopy is usually limited to 25%
- Out of print or out of stock books - Soft Reserves will request special permission to copy more of the book.
- Journal articles
- Copies of the entire article are permissible
- Multiple articles from the same issue are allowed. Note: There is often a point where it is much cheaper for the student to purchase a copy of the issue rather than have us get permission for multiple articles from it
